# Candidates overview & filters

### Candidates overview

In JOIN, all your candidates are grouped into three sub-tabs under the `Candidates` tab:

* `Active`: Candidates with at least one application currently in the `Screening`, `Qualified`, or `Offer` hiring state
* `Hired`: Candidates who have been marked as hired for at least one application
* `All`: Every candidate in your account, including active, rejected, and hired applications, as well as candidates in your Talent Pool

You can view and manage your candidates from the `Candidates` tab in the sidebar menu. Each view gives you access to search tools, filters, sorting, and customisable column options.

If a candidate has applied to more than one job, they appear as a single row listing all of their applications, rather than as separate rows. This makes it easier to see everything a candidate has applied for without searching for them multiple times.

### Candidates table

Each candidate is listed in a structured table with sortable columns — ideal for reviewing candidates and progressing them through your pipeline. Here's a breakdown of what you'll see in the candidates table:

Click the name to open the candidate's profile. If a candidate has applied to multiple jobs, they're all listed in this cell.</td></tr><tr><td><code>Stage</code></td><td>Displays the current pipeline stage for each of the candidate's applications. You can update it using the dropdown menu, where your permissions allow.</td></tr><tr><td><code>Documents</code></td><td>Shows the candidate's CV and any other uploaded documents. Click to preview or download.</td></tr><tr><td><code>Links</code></td><td>Shows professional links the candidate has added, such as LinkedIn, Xing, GitHub, a portfolio, or a personal website.</td></tr><tr><td><code>Email</code></td><td>The candidate's email address.</td></tr><tr><td><code>Phone Number</code></td><td>The candidate's phone number, if provided.</td></tr><tr><td><code>Last Applied On</code></td><td>The date of the candidate's most recent application.</td></tr><tr><td><code>Candidate created on</code></td><td>The date the candidate's profile was created in JOIN.</td></tr><tr><td><code>Country of Residence</code></td><td>Shows the candidate's country if they entered it in the application form.</td></tr><tr><td><code>Candidate Source</code></td><td>Where the candidate came from (e.g. <code>Manually imported</code>, <code>Talent Pool</code>, <code>Chrome Extension</code>, or <code>Spontaneous application</code>).</td></tr><tr><td><code>GDPR status</code></td><td>Indicates whether consent has been requested or given. If candidates are added manually or via the Chrome extension, JOIN sends a consent request automatically.</td></tr><tr><td><code>Tags</code></td><td>Tags assigned to the candidate. You can hover over a row to reveal a `...` icon on the right, which opens `Add note` and `Add tag`.

To reject a candidate, select them using the checkbox and use `Reject` button from the bottom toolbar.

#### Additional table features

* Use the pagination controls at the bottom of the table to view 10, 25, 50, or 100 entries per page.
* You can scroll the candidates table horizontally to view more columns or vertically to view more rows.
* The `Name` column is fixed and always visible when scrolling.

### Candidate search

You can quickly locate specific candidates in two main ways:

#### 1. Global search

Use the search bar at the top of the main menu to search for a candidate's name from anywhere. Alternatively, press `Cmd + K` (Mac) or `Ctrl + K` (Windows) to open the search.

#### 2. Table search

On the `Candidates` page, use the search icon on the top-right of the table to look up a candidate directly within the current view.

### Using filters

Use filters to narrow down your list of candidates based on specific details.

Click the `Filters` button to open the full list of available filters. You can apply one or multiple filters at the same time. Click anywhere on the screen to close the dropdown.

To the right of the `Filters` button, you'll see a quick access filter:

* `Job`: Filters candidates by job title

#### Available filters

Click the `Filters` button to view all standard filters. You can apply multiple filters at once.

Available options include:

* `Candidate source`: Filter by where the candidate came from, such as `Imported`, `Talent Pool`, `JOIN Chrome Extension`, or `Spontaneous application`.
* `Country of residence`: Filter candidates by their country of residence.
* `Tags`: Filter by tags added to the candidate.
* `GDPR status`: Filter by whether consent has been requested or given.
* `Created on`: Filter by the date a candidate profile was created.
* `Last applied on`: Filter by the date a candidate last applied.
* `Hiring State`: Filter by fixed application state: `Active`, `Offer`, `Hired`, or `Rejected`.
* `Job`: Filter by all jobs the user has access to.
* `Job Status`: Filter by status, including `Online`, `Offline`, and `Archived`.

Each time you select a filter, the table updates automatically. Filter buttons turn blue once applied and show how many options are selected.

#### Resetting filters

There are multiple ways to reset filters:

* Click on an applied filter to open a dropdown and then click `Reset filter` to remove just that filter.
* Open the `Filters` menu and click `Reset all filters` at the bottom to remove all applied filters.
* If you apply certain filter(s) that has no results, you'll see a "No exact matches" message and a `Clear filters` button to quickly start over.

### Customising table view

You can personalise your candidates table by adjusting visible columns and sorting options.

1. Click the settings icon <i class="fa-gear">:gear:</i> (top-right of the table).
2. Under `Visible data`, toggle on or off the fields you want to display

   Available columns include:

   * `Applied for`
   * `Stage`
   * `Country of Residence`
   * `Documents`
   * `Professional Links`
   * `Last Applied On`
   * `Email`
   * `Phone Number`
   * `Candidate Source`
   * `Tags`
   * `Candidate created on`
   * `GDPR Status`
3. Toggle on/off the columns you want to see. The `Name` column is fixed and cannot be hidden.
4. Reorder columns by dragging the six-dot handle <i class="fa-grip-dots-vertical">:grip-dots-vertical:</i> next to each visible column.
5. You can also sort candidates by different fields under `Sort by`. Choose how you'd like to order your table:
   * `Name`: `A to Z` / `Z to A`
   * `Last Applied On`: `New to old` / `Old to new`

### Managing candidates

JOIN offers multiple ways to take action on candidates directly from the table view.

* **Update pipeline stage**: Use the dropdown in the `Stages` column to move a candidate's application through your pipeline.
* **Add or edit tags**: You can add new tags using `+ Add tag` button or hover over a row and click the `...` icon that appears on the right-end to open `Add note` and `Add tag`.
* **Take bulk actions**: Use the checkboxes to select one or multiple candidates and take actions from the bottom toolbar. Options include: `Add tags`, `Reject`, `Export`, `Delete candidates`.

When you reject a candidate with multiple applications from this table, all of their active applications are rejected. Any application already in the `Hired` stage is left untouched. If you only want to reject a single application, do it from that job's pipeline or from the candidate's profile instead.

Deleting a candidate is permanent. It removes the candidate's profile and all of their associated applications, emails, scorecards, and documents, and it cannot be undone. Use `Delete candidates` from the bulk toolbar, or the `... More` menu on a candidate's profile.
