# Notification preferences

Notifications in JOIN are alerts that help you and your hiring team stay up to date. You can receive notifications via email and in-app popups, and access all your notifications through a centralised hub in your sidebar. These notifications are designed to help you stay informed about updates and activity related to your hiring process, including:

* Actions taken within the product (e.g. job updates, new applications, team activity)
* Updates about new features or improvements
* Guidance and offers to support your hiring journey

You can choose to receive or stop receiving these email notifications by turning them on or off in your personal settings.

Notifications trigger only if the user:

* Has access to the job
* Is assigned to the job (part of the `Hiring team`)

`System Admins` can access all jobs, but won’t receive job-related notifications unless they’re assigned to the job.

### Notification channels

You can choose how you receive notifications through two channels:

* **In-app**: Notifications appear in the `Notifications` tab in your sidebar and as pop-up alerts while you're working in JOIN. These help you stay informed without leaving your current workflow.
* **Email:** Notifications are sent directly to your email inbox. These emails include all the details you need and direct links to take action in JOIN.

For each activity, you can select whether you want to receive notifications via in-app, email, both, or neither by using the checkboxes in your notification preferences.

Notifications are user-specific. Each team member can customise their own preferences. You cannot set notifications at a company account level. Go to `User settings` to change your notifications.

### Navigating the Notifications tab

The `Notifications` tab in the sidebar opens a window, where you can review updates, stay in sync with activity from your team members, and take quick actions.

You might see a red dot on the bell icon <i class="fa-bell">:bell:</i> next to `Notifications`. This means you have new, unread notifications. You will also see a number badge that shows how many unread notifications are waiting for your review.

The notifications window helps you:

* Stay updated on activity in your account since your last visit
* Take action quickly by clicking on any notification (you’ll be taken to the relevant area)
* See changes made by your teammates—like a candidate being added to the talent pool or moved to another stage

What you can do in the notifications window:

* Open notifications: Click any notification to jump directly to that area of the product—like viewing a job that was just published.
* Switch views: Use the dropdown at the top to toggle between `All` and `Unread` notifications.
* Mark notifications as read or unread:
  * Mark as read: Hover over a notification and click the `Mark as read` icon. This will remove the red dot and move that particular notification out of your `Unread` view.
  * Mark as unread: Hover over a read notification and click the `Mark as unread` icon. This is helpful if you want to revisit the update later.

* Bulk actions: Click the three-dot menu in the top-right for:
  * `Mark all as read` : to remove all red dots in one go
  * `Manage notifications` : this will take you to your `User settings` → `Notifications` to adjust your preferences

Job and candidate notifications are tied to your individual account and the jobs you’re assigned to.

You’ll only be notified if a teammate takes action on a job where you are part of the `Hiring team`.

### Managing preferences

You can manage your notification preferences from two places:

#### From the notification centre

1. Click on the `Notifications` tab in your sidebar
2. Click on the three-dot menu on the top-right of the notification window
3. From the menu that opens, click `Manage notifications`

This will take you to the notification settings page where you can update your preferences.

#### From User settings

1. Click your profile icon at the bottom of the left menu
2. Go to `User settings`
3. Click on `Notifications` from the sidebar

This will take you to the notification settings page where you can update your preferences.

### Setting notification preferences

On the Notifications page, you'll see three main topics: Jobs, Candidates, and Digests. Under each topic, you'll find different activities with checkboxes for In-app and Email channels.

To customise your notifications:

1. For each activity, check the boxes for your preferred channels:

   * Check `In-app` if you want to receive notifications as popup alerts
   * Check `Email` if you want to receive notifications via email

   You can select both, one, or neither depending on your preferences
2. For digest summaries, check the boxes for the types of activity you want included (New applications and/or Rejected applications), then choose your preferred frequency (daily or weekly) and time from the dropdown menus

**Managing digest notifications**

1. Go to `User settings` → `Notifications`
2. In the `Digest` section, select which activity types to include:
   * New applications
   * Rejected applications
3. Choose how frequently you want to receive this email
   * `Daily` : A summary of activity from the previous day
   * `Every Monday` : A summary of activity from the previous week
4. Select your preferred delivery time. Digest emails can be scheduled between 9:00 AM and 6:00 PM, so they arrive during working hours.

Our recommendation for when to use daily vs weekly digest

* Daily digests are recommended if you want to plan your day around incoming applications, review candidates regularly, or take action quickly on a day-to-day basis.
* Weekly digests are better if you log in to JOIN frequently and don’t need a daily email summary, or if you prefer a broader overview without daily notifications in your inbox.

Digest emails will only include information about topics you’re subscribed to.

For example:

* If you’re subscribed only to new applications, the digest will show applications received but not rejections
* If you’re subscribed only to rejected applications, only rejections will appear
* If you’re subscribed to both, both will be included

### Actions you get notified about

Your notification preferences control **what** you’re notified about.

Your job assignment controls **which jobs** you’re notified about.

#### Start receiving notifications for one job

1. Go to `Jobs` and open the job.
2. Click `...` → `Edit`.
3. Go to `Hiring team`.
4. Add yourself to the hiring team. Or ask a `Job Admin` to add you.

Once you’re assigned, job and candidate activity for that job can trigger emails, in-app notifications, and digests (based on your preferences).

#### Receive notifications for all jobs (bulk assign)

If you want notifications and digests for every job, assign yourself to all jobs:

1. Go to `Settings` → `Team`.
2. Find your user.
3. Click the `Jobs` count. This opens the assignment modal.
4. Click `+ Assign`.
5. Select the jobs from the dropdown.
6. Click `Assign` to confirm.

### Types of notifications

#### Jobs

Job notifications keep you informed about activities related to job postings and management:

* **New job published**\
  Receive a notification when a new job is published by another team member. The notification includes the job title, name of the colleague who published the job, and a direct link to view the job.
* **Job status changed to online, offline or archived**\
  Get notified when a job's status is changed by another team member — whether it goes online, offline, or is archived. The notification includes the job details and who made the change.\

* **Invited to collaborate on jobs**\
  Get an alert when you're invited to the hiring team of a job (or multiple jobs). This notification helps you stay informed about new collaboration opportunities and ensures you don't miss job assignment invitations from your team members.
* **Premium job booking published**\
  Sent when a premium job ad booking is successfully published on a job board for a job you’re assigned to. The notification confirms that your order has been fulfilled and the promotion is now live.
* **Premium job booking expired**\
  Sent when a premium job ad booking reaches the end of its scheduled run and is no longer active. This helps you keep track of expired promotions and decide whether to extend or rebook the ad.

#### Candidates

Candidate notifications help you stay updated on all candidate-related activity:

* **New applications**\
  Get notified when someone applies to a job you’re assigned to (part of the `Hiring team`). The notification contains the candidate's name, the role they applied for, and a direct link to view their profile.
* **Application moved to a new stage in pipeline**\
  Receive notifications when a candidate's application is moved to a different stage in your hiring [pipeline](/candidates-and-applications/pipeline-management.md#managing-a-pipeline). This helps you track candidate progress and ensures you're aware of status changes made by team members.
* **Mentioned in a note**\
  Get notified when someone mentions you in a note for a candidate. The notification shows who mentioned you, and which candidate the note is about. This helps you stay in the loop on important discussions and collaboration.
* **New reply to a note**\
  Receive notifications when someone replies to a note thread you're participating in. This keeps you updated on ongoing conversations about candidates and ensures you don't miss follow-up discussions.
* **New scorecard submitted**\
  Be alerted when a team member submits a scorecard for a candidate. The notification includes who submitted the scorecard and which candidate it's for, helping you track evaluation progress.
* **Candidate added to talent pool**\
  Get notified when a candidate is added to your talent pool. This helps you stay informed about potential candidates being saved for future opportunities.
* **Candidate marked as hired**\
  Receive notifications when a candidate is marked as hired for a position. This helps you track successful placements and celebrate hiring wins with your team.
* **Application deleted or withdrawn**\
  Get notified when an application is deleted or when a candidate withdraws their application. This keeps you informed about changes in your application pool.
* **Candidate data deleted**\
  Be alerted when candidate data is deleted by a recruiter or when a data deletion is requested by a candidate. This helps you stay aware of data management activities.

#### Digests

Digest emails provide a consolidated summary of application activity across the jobs you’re assigned to. Instead of getting individual emails for every application received or rejected, digests group activity into a single email sent at a scheduled time.

**Reading your digest email**

Each digest email is divided into two main sections: an overall summary and job-level updates.

1\. Summary overview

At the top of the email, you’ll see a section titled ‘Your update in numbers’. This gives you a high-level overview of activity across all jobs you’re assigned to, including:

* Total number of online jobs
* Total number of offline jobs
* Total applications received since the last digest
* Total applications rejected since the last digest

These numbers always reflect overall activity, even if individual job details are not shown further down in the email.

2\. Job-level updates

Below the summary, the email lists job-level activity in a section called ‘Popular job updates’.

* A maximum of five jobs are shown in this section
* Jobs are selected based on where the most activity occurred during the past day or week
* Each job card includes:
  * Job title and location
  * Job status badge (online or offline)
  * Applications received (with candidate names)
  * Applications rejected (with candidate names)
  * A ‘View’ button linking directly to that job’s applications

### Other email notifications

Product updates, marketing emails, onboarding emails, guidance on how to use JOIN more efficiently, and other similar communications are not managed from within the JOIN product. These email preferences are managed directly from the emails themselves.

* **Product launches & updates**\
  Be the first to know about changes in JOIN that affect your hiring workflow — from new features to improvements and important announcements.
* **JOIN offers & specials**\
  Receive limited-time offers on JOIN subscriptions or special promotions on premium products from the Store.
* **Events & webinars**\
  Stay informed about upcoming JOIN-hosted events and educational webinars. Topics often include best practices, hiring tips, platform walkthroughs, and sessions with partner job boards.
* **Onboarding emails**\
  A series of expert tips and feature overviews sent after you sign up. These help you understand JOIN’s features and how to use them effectively.

To manage your preferences for these emails:

* Look for the unsubscribe or preference management links in the footer of any marketing, product update, or guidance email you receive
* Click on these links to be taken to a preference centre where you can choose which types of emails you'd like to receive

These preferences are managed outside of JOIN's in-product notification settings to give you more control over your marketing and informational communications.

<summary>How do I stop getting notifications?</summary>

You can stop notifications by turning them off in your personal account settings.

To disable notifications in JOIN:

3. Uncheck the In-app and/or Email checkboxes for the notification types you don't want to receive.

4. Confirm that the In-app and/or Email checkboxes are checked for the notification types you want to receive.
5. Check your spam/junk folder and email routing rules if you're expecting email notifications.

`System Admin` access gives you visibility into all jobs.
