Talent Pool
Talent Pool feature helps you save and organise promising candidates for future roles. This article covers how to add, review, assign, and manage candidates in your Talent Pool.
A Talent Pool is a strategic database of pre-qualified talent, including both active job seekers and passive candidates, built for future hiring needs. It acts as a reservoir of relevant profiles, helping you fill open positions faster and more efficiently. A Talent Pool helps you keep track of candidates who show potential but may not be the right fit for your current vacancies. Instead of losing contact, you can save their profiles and revisit them later when a suitable opportunity arises.
Add candidates to Talent Pool
Save and organise promising candidates for future opportunities using JOIN’s Talent Pool. This feature allows you to build a dedicated repository of potential hires, enabling a faster and more strategic hiring process when new roles open. There are two main ways to build your Talent Pool in JOIN:
1. From a candidate profile
Navigate to the
ApplicationstabClick on a candidate to open their profile
In the left panel of the candidate’s profile, click
Add to Talent Pool
This adds the candidate’s profile to the Talent Pool tab for future reference.
2. Via spontaneous applications
If you've activated the option to receive spontaneous applications on your Career Page, JOIN will automatically send these applications to your Talent Pool. These are candidates that haven’t applied to a specific job but are interested in your company.
You’ll be notified by email when a new spontaneous application arrives. Ensure notifications are enabled in your User Settings to stay updated.
Reviewing spontaneous applications
Unreviewed spontaneous applications appear as a floating banner at the bottom of the Talent Pool tab. Click Review to open the screening view.
In the screening view, you’ll see:
Candidate’s
CVandCover letter(if provided)Contact information
Candidate locationSource: marked as
Spontaneous ApplicationTheir motivation to join your company
From here, you can:
Click
Acceptto permanently add them to your Talent PoolClick
Rejectto delete their profile from your account
Rejected candidates are permanently deleted and cannot be recovered. Only reject candidates you’re certain you don’t want to store.
Use the navigation arrows to move through the list without leaving the screening view.
Talent Pool tab
Click Talent Pool in the left sidebar menu to access all stored candidates.
Applications table
Each row represents a candidate card with the following columns:
Name: Click a candidate’s name to view their full profile, including:EmailCandidate locationGDPR Status: Shows consent statusCV: Shows the attached CV of a particular candidateTags: Add tags to a candidate's profile in your talent pool to improve searchability.Action: Gives two options to take action on a candidate:Assign candidate to a job using icon
Remove candidate from Talent Pool using icon.
View settings
Click the settings gear icon at the top right of the table to show or hide the following columns:
Email,Candidate location,GDPR Status,CV,Tags
Filters
Click the Filters button to narrow your search using:
Application TagsCandidate Country
Assigning candidates to jobs
Use the + icon in the Action column to assign a talent pool candidate to a job. A pop-up window appears with your active job listings. Select the job and click Assign .
No automatic message is sent to the candidate. We recommend contacting them beforehand to confirm their interest.
Example use case:
You’ve saved several engineers in your Talent Pool. Once you publish a new Backend Engineer job, you can revisit your pool and assign suitable candidates to this job to kickstart the pipeline immediately.
Benefits of building a talent pool
Reduce time-to-hire for future roles Having a curated group of promising candidates means you don’t have to start from scratch every time a job opens. Instead of sourcing new applicants, you can immediately reach out to candidates already in your Talent Pool.
Example: You've saved a strong software developer who wasn't the right fit before. When a similar role opens, you can contact them directly and shorten the time-to-hire.
Revisit candidates you’ve already vetted and liked Instead of losing touch with great candidates who just weren’t a fit at the time, the Talent Pool helps you retain their details and revisit them later.
Example: A marketing manager impressed you during a previous recruitment round. Months later, you open a new role in the same department — a quick search in your Talent Pool brings them back to your attention.
Improve hiring quality by accessing high-intent profiles Candidates added to the Talent Pool are often people your team has already evaluated positively. They’ve shown interest in your company or roles before, so reaching out again tends to yield higher engagement.
Save resources on sourcing and outreach Manually sourcing candidates through job boards or LinkedIn can take hours. With a Talent Pool, your best leads are already organised and searchable — no need to repeat the effort.
Tap into a wide variety of candidate sources Talent Pools aren’t limited to former applicants. You can also include high-performing interns, referrals, and candidates met at events or sourced via LinkedIn outreach.
Stay proactive in a competitive market In tight labour markets, hiring can be unpredictable. A well-maintained Talent Pool gives you a competitive edge, allowing you to act fast when the right role opens up.
